Chart String/Account String Help Guide

Overview

Fleet Services exclusively bills through internal billing using EFS/chart strings. Chart strings must be budgeted for travel. Renters should contact their department accountant to receive the appropriate chart string.

Chart string format

There are two types of chart strings: Unsponsored and Sponsored. Both types typically come in the form of a string of numbers, sometimes separated with dashes:

  • EXAMPLE: 1234 - 12345 - 23456 OR 3123-12345-00012345

Chart Strings at a minimum will include the basic building blocks:

Unsponsored
  • FUND: a four-digit number typically beginning with a 1.
  • DEPT ID: a five-digit number typically beginning with a 1.
  • PROGRAM ID: a five-digit number beginning with a 2 or five letters.
Sponsored
  • FUND: a four-digit number typically beginning with a 1.
  • DEPT ID: a five-digit number typically beginning with a 1.
  • PROJECT ID: an eight-digit number typically beginning with zeros.

Chart strings commonly may include more than the basic building blocks above. See below on how to recognize additional pieces of a chart strings:

  • Chart field 1 (CF1): ten-characters made up of a mix of letters and numbers.
    • Example: AES12345
  • Chart field 2 (CF2): a ten-digit number beginning with a 1 and zeros.
    • Example: 10000012345
  • Employee ID (CF3): a seven-digit number.
    • Example: 1234567

NOTE: Do not put dashes, spaces or symbols in any field. This will cause the reservation system to flag your EFS as invalid.

If your chart string possesses a PROGRAM ID, you will enter your EFS information into the reservation request as so:

Who is responsible for tickets, tolls or other citations?

Tickets, unpaid tolls, and other citations are the responsibility of the driver, not the department. See the University of Minnesota Board of Regents Policy.

Tolls are reimbursable travel expenses, however, late fees associated with unpaid tolls are the responsibility of the driver.
