Fleet Policy Reminders

DRAs

Fleet Services relies on department contacts, known as Designated Responsible Authorities (DRAs), to help identify drivers of University vehicles; carry out the Driver's License Check Program; and comply with University policies regarding the use of University vehicles.

REMINDER: Students, staff and faculty drivers MUST be listed as a driver in the DRA database if that person will be driving a University vehicle.

Accidents and Vehicle Damage

  • An Accident Report must be completed, in its entirety by the driver, within 2 business days of the accident.
  • If driving a leased or department owned vehicle, the driver must be a listed driver in the DRA database.
  • If driving a Fleet Rental vehicle, the driver must be a validated driver in our rental system OR must have had a license reviewed at the time of pick up by Fleet Services rental staff.

If a driver is not listed in the DRA database, the driver’s department will be assessed a $2500 deductible rather than the standard $500 deductible. If an accident report is not completed within 2 business days of the occurrence of damage, the driver’s department will be responsible for the full cost of repairs.

New Inspection Form for Tab Renewals

Tab renewals take place every two years. In order for Fleet Services to ensure that each University licensed vehicle is safe for continued operation, Fleet requires that any vehicle that isn’t regularly maintained at the Twin Cities campus' Fleet Shop must be inspected by a local shop. This includes all Twin Cities department-owned vehicles and all off-campus leased and department-owned vehicles. The inspecting technician must complete and sign Fleet’s University of Minnesota Biennial Inspection Form

Vehicle tabs were just distributed this spring and will be valid through February 2026. The inspection form has recently been updated to keep up with fleet industry safety standards. Please invest some time to become acquainted with this new form as its more detailed inspection items could potentially lead to a higher frequency of inspection failures in department-owned vehicles as these are typically kept for longer periods of time than Fleet lease vehicles. In order to receive new tabs in 2026, each vehicle must pass inspection.

If, after reviewing this form, you think your vehicle might not pass all line items noted in 2026, please plan ahead and submit a New Vehicle Request Form to fleetsrv@umn.edu to begin the vehicle ordering process for a new vehicle.
